Past thirty pages or so, a PDF without bookmarks becomes painful: to find appendix 3 of a report, chapter 7 of a dissertation or the maintenance procedure in a manual, all you have left is the scroll wheel. Bookmarks turn that solid block into a navigable document: an interactive table of contents appears beside the page, and one click jumps straight to the right section. Long reports, dissertations and theses, technical manuals, product catalogues, annual reviews — precisely the documents nobody reads from first page to last.
It is also a formal expectation in many contexts. Institutional repositories, universities, tender responses and regulatory filings routinely ask for a PDF "with bookmarks" so the reviewer can reach each item directly. On the commercial side, a catalogue whose every product range is flagged by a bookmark genuinely saves the customer time. And for accessibility, a clean bookmark structure gives a clear entry point to people navigating by keyboard or with assistive technology.
The distinction matters: we do not write clickable text onto a contents page, we record genuine bookmarks in the document's internal structure — the PDF outline. As a result they show up in the side panel of any reader, from Acrobat to Preview by way of the built-in viewer in Chrome, Edge or a phone, and stay visible whatever page is displayed. You simply enter a title and a target page number for each entry, and you can nest levels to reflect parts, chapters and subsections.
One method tip: add bookmarks last, once pagination is definitively frozen. If you are still combining files with the merge tool or removing pages with extract-pages afterwards, every number shifts and your bookmarks will point to the wrong place. Once the document is final and tagged, the compress tool lightens it for distribution and protect adds a password if needed.
